Behind the Scenes at Doteasy

What goes on behind the scenes at Doteasy? Well, we’ve been busy with the preparation work for the SmartMail upgrades.

There’s actually a lot that needs to be done for the SmartMail upgrades on both the hardware and on the software. Our technicians need to do countless hours of preparation work before an upgrade can take place.

First, hardware needs to be tested to see which type would perform the best with the SmartMail software. This testing phase was not a easy stroll in the park. It actually takes a lot of time to test every aspect of the hardware with the software to ensure that everything is running smoothly.

Adding new servers to a data center is no easy task. A lot of preparation work needs to be done before we can hook all the new servers up. We need to figure out where we can place the new servers, and also upgrade our cooling system and our electrical circuits to accomodate the new servers. Just to give you an idea on how big this project is, we have already spent several hundred thousands dollars on hardware and data center upgrades alone!

Secondly, in addition to testing the performance of the hardware, we also need to test the performance of the software. Before we can release the SmartMail system, we had to make sure there are no bugs or any other “surprises”. Documentation also had to be prepared so that you guys can learn more about the new SmartMail system and get the most out of it. All this work needs to be done before any upgrades can take place. As you can see, these past few weeks have been quite hectic. Hopefully, our efforts will not go to waste and everyone will be able to enjoy the new SmartMail system.

Doteasy SmartMail: Clarifications on Upgrade, Spam and more…

As we approach the primetime shopping holiday season, we are already seeing an influx in the number of spam hitting our mailservers. Reports in the past years have showed us that spam activities are highest in the months of October to January.

Many of you may wonder why are we at Doteasy choosing a high-spam time like now to carry out our mail system upgrades. A few of you might even wonder, if the new SmartMail is so powerful as we say it is, why are you still getting more spam?

Compared to our older webmail email service, the new Doteasy Smartmail uses more powerful software and hardware. It addresses a number of great concerns our older webmail system used to have, which includes dropped emails.

The new Doteasy SmartMail handles emails more efficiently so that all emails addressed to you, legit or spam, will be delivered. This, combined with increased efforts of spammers worldwide is the reason why you are seeing more spam in your inbox.

You saw less spam on the old webmail system because they were dropped by the mailserver; the old mailservers were not designed to handle high volumes of emails. As a result, many lower priority emails were dropped and lost. It worked in our favor because most of the dropped emails were emails with a high spam score.

But with increasing spam volume circulating on the Internet, the mailservers were constantly under extreme stress and we were starting to see irreversible damages to the server hardware. We had no other options but to expedite the process of migrating all of our customers to the new Doteasy SmartMail system.

Many of you who uses webmail will notice the Doteasy Spam and Email Virus Protection service page we have posted upon webmail login. I know it might be wrong-timing on our part, but the notice is there to remind our clients that in addition to the free Content Filter and Mail Processing Rules included in your webmail service, there is another option, a more sophiscated and less-hassle anti-spam protection.

We apologize if the Doteasy Spam and Email Virus Protection notices and/or the mail system upgrade has brought about any misconceptions or misunderstandings.

One last thing that needs to be made clear: We do not sell or release your information to any third-party, company or spammers. Doteasy’s SmartMail webmail system has been launched for a while now and it has been very well received.

The Doteasy SmartMail system offers a lot of exciting new features designed for more efficient email and improved email performance. The new SmartMail is a significant improvement over the existing webmail system, with features such as:

• Improved hardware, allowing for improved server performance and more efficient mail delivery
• Enhanced web interface, with administrative reports, POP Retrieval and RSS aggregator, and Calendar, Tasks, Notes and other features similar to Outlook
• User-Shared Resources (calendar, address book, email folders)
• Enhanced user management. You can assign individual email storage quota and setup multiple email administrator accounts.

The new SmartMail system is so much better than the existing webmail system, we intend on eventually moving all of our clients onto the new SmartMail servers. Of course, this upgrade will be a big project so we can only move one email server at a time.
